A practical list of documents that may be required before starting work in Poland or abroad.
The essentials at a glance

The exact list depends on the country, your nationality and the position. Your recruiter should provide an individual checklist and explain why each document is required.

Identity document

A valid identity card or passport is the starting point. Before recruitment begins, check its expiry date and make sure all details are clearly readable. If the document will expire soon, tell the recruiter because this may affect the preparation of formalities.

Do not send scans to random addresses. Always check that you are communicating with an official company representative and that the message comes from the correct domain or a telephone number you recognise.

Information needed to prepare a contract

Preparing employment documents usually requires basic personal and contact details. These may include:

  • your full name exactly as shown on your identity document,
  • date of birth and home address,
  • telephone number and email address,
  • bank account number for salary payments,
  • details of an emergency contact.

The required data may vary. If you do not understand why a particular item is needed, ask for an explanation before providing it.

Foreign workers may need additional documents concerning residence and the right to work. The exact requirements depend on nationality, the country of employment and the individual situation.

Do not rely on one universal checklist from the internet

Rules and procedures can change. The safest option is to use a list prepared for a particular person and a particular job offer.

Professional licences and certificates

Some positions require proof of qualifications. This may include forklift licences, a driving licence, technical certificates, food-safety documentation or other industry-specific credentials.

If you hold such qualifications, tell the recruiter and check whether they are still valid. Do not assume that a certificate issued in one country will automatically be recognised in another — confirm this before travelling.

Medical examinations and training before work

Depending on the role, you may be referred for occupational health examinations or mandatory training before you are allowed to start. The recruiter should explain where and when to attend and which documents to bring.

Do not arrange examinations independently without prior agreement. A specific scope or an employer-issued referral may be required.

How should you store documents safely?

Make copies

Create scans or clear photographs and store them in a secure location.

Keep originals separate

When travelling, keep documents in a closed bag, preferably separate from cash.

Share only what is necessary

Provide only the information required at the current recruitment stage.

Checklist before starting work

  • I have a valid identity document,
  • I know the employment conditions and who my employer is,
  • I have received the list of required documents,
  • I know where to attend medical checks or training,
  • I have contact details for the recruiter and coordinator,
  • I have copies of the most important documents.

Well-prepared formalities shorten the process and reduce the risk of a delayed start. If something is missing, inform the recruiter as soon as possible — a solution can often be found together.
